Question 1

How quickly should I return a missed call from a customer?

Accepted Answer

Ideally within 5 minutes. Research shows that responding within 5 minutes makes you 100x more likely to connect with the lead compared to waiting 30 minutes. At minimum, aim to return all missed calls within one hour during business hours.

Question 2

Should I leave a voicemail if the customer doesn't answer my callback?

Accepted Answer

Yes, always leave a brief, professional voicemail. State your name, business, the reason for calling, and the best number to reach you. Keep it under 30 seconds. Follow up with a text message if possible, as many people prefer text communication.

Question 3

How many times should I attempt a callback before giving up?

Accepted Answer

Make at least 3 callback attempts over 2-3 days, varying the time of day. After the first call, follow up with a text or email. After the third attempt, send a final message letting them know you're available when they're ready to connect.

Question 4

How do I handle an angry customer on a callback?

Accepted Answer

Start with empathy and acknowledgment: 'I understand you've been trying to reach us, and I apologize for the delay.' Let them express their concern without interrupting. Use phrases like 'I hear you' and 'Let me help fix this.' Focus on solutions rather than excuses.
