Seven Olives Inc ("Seven Olives," "we," "us," or "our") operates ReadyToTalk, an AI-powered virtual receptionist service available at readyto.talk. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our service.
By using ReadyToTalk, you consent to the data practices described in this policy. If you do not agree with this policy, please do not use our service.
2. Information We Collect
Account Information
When you create an account, we collect your name, email address, password (stored as a salted hash — we never store plaintext passwords), business name, business phone number, business address, industry, and other details you provide during onboarding.
Call and Voice Data
When our AI receptionist handles calls for your business, we collect and process:
- Caller phone numbers and call metadata (duration, timestamps)
- Voice audio data for real-time AI processing
- Call transcripts generated from voice-to-text conversion
- AI-generated call summaries and action items
- Call recordings, when enabled in your account settings
Voice audio is streamed to our AI processing partner (Vapi) in real time to power the receptionist. Audio is not permanently stored by Vapi unless call recording is explicitly enabled in your settings.
Website Content
During onboarding, we scan your business website to train your AI receptionist. We store scraped page content (text only — no images or files) in our knowledge base to enable accurate call handling.
Payment Information
Payment processing is handled entirely by Stripe. We do not store credit card numbers, CVVs, or full card details on our servers. We retain only your Stripe customer ID and subscription status. Stripe's privacy policy governs payment data: stripe.com/privacy.
Usage Data
We automatically collect information about how you interact with our website, including IP address, browser type and version, device type, pages viewed, referring URLs, and session duration. We use Google Analytics for this purpose.
3. How We Use Your Information
- To provide and operate the ReadyToTalk AI receptionist service
- To process calls and generate transcripts, summaries, and lead notifications
- To process your subscription payments and manage billing
- To train and improve your personal AI receptionist using your business content
- To send service-related communications (call summaries, billing receipts, account alerts)
- To detect, prevent, and address technical issues, fraud, or abuse
- To comply with legal obligations
We do not sell your personal information to third parties. We do not use your individual call data to train general-purpose AI models. Your business data is used solely to power your receptionist.
4. Third-Party Data Processors
We use the following third-party services to operate ReadyToTalk:
- Vapi — Voice AI processing and telephony. Processes call audio in real time. See: vapi.ai/privacy
- Stripe — Payment processing. Handles all credit card and subscription billing. See: stripe.com/privacy
- Google Analytics — Website traffic analytics (anonymized)
- Railway — Cloud hosting infrastructure (US-based)
- Gmail / Google Workspace — Transactional email delivery
Each processor is contractually required to handle your data in accordance with applicable privacy laws and only for the purposes of providing their services to us.
5. Cookies
We use the following types of cookies:
- Essential cookies — Required for authentication and session management. Cannot be disabled.
- Analytics cookies — Google Analytics cookies to understand website usage patterns. You can opt out via your browser settings or Google's opt-out tool.
We do not use advertising or tracking cookies. Disabling essential cookies may prevent you from using the service.
6. Data Retention
- Account data — Retained for as long as your account is active, plus 30 days after deletion
- Call transcripts and summaries — Retained for 90 days by default
- Call recordings — Retained for 30 days when enabled, then automatically deleted
- Knowledge base content — Retained for as long as your account is active
- Billing records — Retained as required by tax and accounting regulations (typically 7 years)
You may request early deletion of your data at any time by contacting us.
7. Data Security
We implement industry-standard security measures including:
- TLS/SSL encryption for all data in transit
- Encrypted data at rest
- Salted password hashing (never plaintext storage)
- Role-based access controls
- Regular security reviews
No method of transmission over the Internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data ("right to be forgotten")
